The Office of Admissions at Stockton University is seeking a Program Assistant position to support the operation and technical support needs of both undergraduate and graduate admissions. This position will report directly to the Associate Director of Admissions Operations and will collaborate with a highly talented team to perform the essential technical functions of the admissions office, a fast-paced work environment.

This is an in-person on campus, non-remote position.

  • Assign, train, and monitor the work of student employees and staff in the use of Banner, CRM, BDM assignments and other tasks, as necessary.
  • Assist CRM admin team with user (both application and staff) errors.
  • Assist at undergraduate and graduate admissions-related events including Open House programs, orientation & registration, and our admitted students day.
  • Consult with supervisor on a regular basis to identify and discuss application errors, common application mapping setup for future cycles, data inconsistencies and other CRM and/or Banner discrepancies and effect resolutions as necessary, while also finding ways to enhance the technical processes.
  • Import Common Applications and initially process each application to ensure that all data received is clean and accurate with the proper established connections across multiple entities within CRM.
  • Prepare clear, accurate, and informative reports containing divisional progress toward established University enrollment goals including Weekly Progress Report, Weekly OGIVE Report, and Bi-Weekly Test Optional Analysis and disseminate to Enrollment Management team.
  • Process general admit reconciliation tasks from decisions made in the CRM by updating the appropriate fields in Banner and CRM for both undergraduate and graduate admissions.
  • Review and assist with edits/updates to admission communications including email correspondence, admission decision letters and admission applications.
  • Review potential duplicate persons in CRM, determine and effect resolution as necessary.
  • Assist with processing and completing applications for both graduate and undergraduate as needed.
  • Assist with processing university acceptance deposits (enrollment confirmations) for both undergraduate and graduate via check, cash and online transmission, post transactions in Banner, create deposit transmittal and deliver funds to Bursar's office.

  • Applicants who do not possess the required education may substitute experience on a year for year basis.
  • Applicants who possess an associate degree may substitute two (2) years of position related experience for the remaining two (2) years of education.
